Students registered in any graduate program at the ITU Graduate School may request support to participate in 1 national and 1 international scientific event per year, provided they remain within their standard period of study (6 semesters for master's programs, 12 semesters for Ph.D. programs).

Required Documents for Application:

Petition signed by the Student, Advisor, and Program Coordinator (click here to download). (The requested information in the petition must be filled out completely, and the requested amount must be specified in TRY, not exceeding the maximum support limit determined by the university.)

National-International Scientific Event Support Program Application Form (click here to download).

An official email or acceptance letter addressed to the presenter, including the title of the paper/article, and clearly indicating that the work has been accepted for an oral presentation. (Emails or letters consisting merely of an invitation will not be accepted).

The brochure of the scientific event and the list of the scientific committee (A photocopy of the brochure or a printout from the conference website is acceptable).

Student's CV (Curriculum Vitae).

Abstract and the full text (if available) of the paper/article. (ITU must be stated as the contact address in the article.)
Important Notes for Application:

Applications with missing documents will not be evaluated. The documents submitted as attachments to the petition must be prepared in duplicate (2 copies) and must be explicitly listed on the petition.

An invitation letter cannot be substituted for a formal paper acceptance letter.

Application documents must be submitted to the institute at least 1 month prior to the event date for national scientific events, and at least 2 months prior for international scientific events. Late applications will not be considered.

Students who are in the final semester of their standard graduate study period (6th semester for master's, 12th semester for Ph.D.) must maintain their active student status on the actual date of the event in order to be eligible for scientific event support. Otherwise, the application will not be evaluated.

The conditions stated in Articles 4 and 5 also apply to Research Assistants who maintain their student status.

Research Assistants officially appointed to the Graduate School must submit the aforementioned petitions and their attachments in duplicate (2 copies each, with original wet signatures on the petitions) to the Personnel Affairs Office. For assignments where the funding budget is provided by BAP (Scientific Research Projects) or TÜBİTAK, Research Assistants must also include the project number along with the project name.

Post-Event and Approval Process:

Post-Event Documents: The documents that need to be filled out after the event can be downloaded from the link provided by the Department of Health, Culture and Sports.

Processing Time: The signature and approval process of the submitted documents/paperwork may take 1 to 2 days depending on the workload. The student may be informed by phone regarding the approval (or rejection) of their documents.

Final Submission: Afterwards, the original documents and attachments—once approved and signed by the Institute Directorate—must be collected from the same office and hand-delivered by the student to the Rectorate SKS Unit.
